Telemedicine software: virtual consultations with consent and audit

A virtual consultation is a clinical encounter. It starts with identity and consent, runs in a private room, and leaves a record on the patient's chart.

Why it matters

Video calls are easy. Making a video call part of a clinical record is harder: knowing who joined, whether the patient consented, and where the consultation is documented afterwards.

The Ventrecs telemedicine module treats the virtual session as a session on the patient's record. It uses the video provider you configure, gates the session on consent and identity, and keeps the room and the invitation private.

At a glance
  • Virtual sessions on the appointment and encounter
  • Configurable HTTPS video providers
  • Consent and identity gates
  • Private rooms, audit and clean-up on completion

What it does

A virtual consultation, with consent and identity first

Sessions on the record

The consultation is a session for one patient and one clinician.

  • A virtual session scheduled for a patient and a clinician at a facility
  • Optionally linked to the patient's encounter
  • States from scheduled to completed, including cancelled and no-show

Consent and identity

The session starts only after the gates are passed.

  • A consent gate before the session
  • An identity gate before the session
  • Every step audited

Your video provider

You choose the service the video runs on.

  • Configurable HTTPS video providers, per facility or for all
  • Unguessable room names
  • The invitation goes only to the registered email address

Clean-up

Nothing is left open.

  • Rooms are dropped when the session completes
  • A session left open for more than four hours is closed automatically
  • Recording only with explicit patient consent, configured on the provider; the audit trail shows who did what and when

Built-in safeguards

Rooms are not guessableEach session gets an unguessable room name, and the room is dropped on completion.
Invitations go to the registered address onlyThe invitation is sent only to the email address on the patient's record.
Consent and identity come firstA session cannot start until the consent and identity gates are complete.
Test providers are not for patientsA public test video service is not suitable for patient consultations. Production sessions run on a provider you configure and approve.

Questions we are asked

Which video service does it use?

The one you configure. The module works with HTTPS video providers set up per facility, and the choice is yours to approve for patient use.

Is consent recorded?

Yes. The session cannot start until the consent gate is complete, and the step is audited.

Where does the consultation sit in the record?

A session can be linked to the patient's encounter, so the virtual consultation sits with the rest of the visit.

Can a patient join without an account?

The invitation goes to the registered email address and opens the session room. The clinician confirms identity on the call before the consultation.
