A day in the clinic

An illustrative visit, from the front desk to the claim. Your own workflow is mapped in a discovery workshop.

Illustrative

Screens and printouts show synthetic demonstration data and a sample facility.

1Front desk

Registration, consent and coverage

Identity and consent are captured once. Coverage is checked against the payer and the visit is opened.

Printed visit slip with queue number, patient and visit details, barcode and the facility logo, in English and Arabic

2Consultation

Notes, diagnoses and orders

The clinician works on a versioned record: ICD-10 diagnoses, allergies and orders from the same screen.

3Results

Laboratory and imaging return to the chart

Verified results reach the ordering clinician, critical values first. The patient can receive a report with a QR code and a one-time PIN.

4Pharmacy

From prescription to dispensing

The prescription is read at the counter, not retyped. Stock, batch and expiry are tracked.

5Billing

Charged by the payer's rules

Each service is split by the plan's rules, pre-authorisation is checked, and the claim is built from the same charges.

How Ventrecs helps

Registration and appointments

Identity, consent and the appointment are captured once, at the front desk, and carried through the visit.

  • Patient identity and identifiers with a duplicate-review queue
  • Consent recorded with the registration
  • Appointments and encounters on the same record

Consultation and orders

Clinicians work on a versioned record instead of loose notes.

  • Versioned clinical notes, ICD-10 diagnoses and allergies
  • Orders and results (CPOE) from the consultation screen
  • Paediatric growth charts and antenatal care where the clinic needs them

Results without phone calls

Laboratory and imaging results return to the chart of the patient who was ordered for.

  • Verified results released to the ordering clinician, critical values first
  • Bilingual lab report with a QR code and a one-time PIN for the patient
  • Optional release delay so the clinician can call first

Payer rules at the front desk

Prices and payer rules sit in the system, not in the receptionist's memory.

  • Service pricing by payer, charged to the visit's invoice
  • Eligibility checks and pre-authorisation, with a manual fallback
  • Claims and payments tracked after the visit
Printed tax invoice showing charges by service, VAT, insurer share and patient balance, in English and Arabic

Questions we are asked

Can a medical centre start with one department?

Yes. Most start with registration, the clinical record and billing, then add laboratory, imaging or pharmacy in phases. Each phase is agreed in a discovery workshop.

Does it work in Arabic and English?

Patient-facing documents such as the discharge summary and the lab report are bilingual, and the Ventrecs website is published in both languages.

How are payer rules handled?

Service prices are held by payer and applied when a service is charged. Eligibility checks use generic REST or FHIR R4 connectors, with a manual fallback. Each payer connection is scoped and tested per project.

Can patients see their results?

A verified lab result can be released to the patient through a QR code and a one-time PIN, or through the patient portal, with an optional delay so the clinician can call first.
