A recall drill

An illustrative scenario: a lot is recalled and every branch has to stop using it.

1

The lot is flagged

A recalled or quarantined lot is marked in the system.

2

Blocked at the moment of use

Dispensing and the point of sale refuse the lot, in every branch that runs on the system.

3

Stock is located

Stock across sites shows where the lot sits, by batch and expiry.

4

Stock is routed

Returns and replacements are routed between branches and the warehouse.

Who does what

Each branch

Dispenses and sells, receives stock and records batch and expiry on every movement.

Who does what

The group

Sees stock across sites, routes stock and procurement and reviews activity on live dashboards.

What gets in the way

A pharmacy group has to answer the same questions in every branch: what was dispensed, what is in stock, which batch expires first, which lot has been recalled. When each branch answers from its own records, the group cannot.

Ventrecs Pharmacy keeps prescriptions, dispensing, stock and the point of sale in one system, with the batch and expiry attached to every movement.

Typical challenges
  • Stock and expiry tracked per branch, not per group
  • Prescriptions re-keyed at the counter
  • No traceability for recalled batches
  • Insured sales reconciled by hand at the end of the day

Stock, batch and expiry

Every movement carries its batch and expiry.

  • Batch and expiry management
  • Stock routing to wards and branches
  • Recalled and quarantined lots blocked at the moment of use

Point of sale and payers

The counter charges what the system knows.

  • OTC sales and point of sale
  • Charges by payer, including insured pharmacy sales with a payer-share payment method
  • Server-side validation of the split between patient and payer

A view across branches

The group sees stock and activity without waiting for a monthly export.

  • Stock across sites and procurement routing
  • Dashboards that are live queries, with pivot tables and spreadsheet export
  • Medicine traceability and catalogue services, scoped per project

Safety for hospital pharmacies

Where the group runs inpatient pharmacies, administration is checked at the bedside.

  • Ward eMAR with the five rights checked at administration
  • Controlled drugs need a witness who is not the administering nurse
  • A self-witnessed entry is rejected

Screens and printouts show synthetic demonstration data and a sample facility.

Integrations commonly required

  • Medicine traceability services
  • Payer and corporate accounts
  • Payment gateways

Each connection is scoped, tested and supported per project. Status is agreed with you before go-live. How integrations are delivered →

Questions we are asked

Can stock and expiry be seen across all branches?

Yes. Batch and expiry are tracked on every movement, and stock across sites is available in one operations view.

What happens to a recalled batch?

Recalled or quarantined lots are blocked at the moment of use, in dispensing and at the point of sale.

Does it handle insured pharmacy sales?

Yes. The point of sale has a payer-share payment method and validates the split between patient and payer on the server.

Which traceability services can it connect to?

Medicine traceability connections are scoped per project and country. We agree the service, the data and the test plan before go-live.
